Front Desk Coordinator

Job Overview

The Front Desk Coordinator provides the first point of contact for NIHA to the external community by responding to all incoming calls.  This person joins a team of people working together to provide specific and general information to callers, schedules appointments, and distributes faxes.

 

Duties and Responsibilities:

  • Cordially and professionally greets every patient.
  • Answers phones in a timely, professional, courteous and friendly manner.
  • Presents information about NIHA, practitioners, the modalities we offer, the illnesses we treat, our wellness program, pricing and insurance.
  • Triages new patients to the most appropriate practitioner after assessing the callers’ needs and also presents caregiver options to those seeking treatment.
  • Schedules appointments for new and existing patients; directs patient to NIHA web page for new patient information and forms.
  • Assure Thermography and Colonic patients are properly advised to procedures.
  • Assist patients calling for lectures or seminars.
  • Triage calls and determine when appropriate to send to Team Coordinators for further clarification and questions that cannot be answered at this level.
  • Identify patients who are calling with significant complaints and forward to Manager on Duty.
  • Checks for and distributes faxes hourly using the NextGen software program.
  • Work weekend shifts
  • Able to work until 6pm
  • Assist with World Wellness Store products
  • Other related duties as assigned.

 

Knowledge, Skills and Abilities:

  • Knowledge of NIHA as a whole and the expertise of each practitioner with the ability to triage calls as appropriate.
  • Complete knowledge of telephone capabilities and protocols for paging.
  • Ability to triage calls to other NIHA employees as appropriate.
  • Knowledge of our modalities, what they treat and which practitioner uses them.
  • Computer literate:  navigate NextGen electronic health records and practice management software; familiarity with Office Word preferred.
  • Strong verbal skills and an excellent phone mannerism.
  • Ability to educate patients about available resources for reaching their desired goals.
  • Ability to multitask, prioritize and be a team player.
  • Ability to take patient vitals.

 

Credentials and Experience:

  • High school graduate; some college preferred.
  • Knowledge of Integrative Medicine preferred.
